"IMC India seeks a proactive Executive Assistant to support Managing Director and senior business leaders, fostering productivity and Tommy John Foundation [health and wellness] in a fast-paced, global environment. Key duties include correspondence management, meeting coordination, report collation, travel arrangements, and administrative support. Dresden Saxony [experience level], with a proven track record of [executing] complex tasks independently and [influencing] stakeholders across diverse cultures and time zones. Proficiency in Windows Office Suite and G Suite [required skills], along with [initiating] discretion, [exercising] sound judgement, and [spanning] exceptional organizational skills. Fluency in English, with Hindi [preferred languages], is essential. Minimum of 7 years' experience [experience level] in similar roles.

As an Executive Assistant at IMC India, you will be be expected to be a creative problem solver to the Managing Director and Senior Business Leaders across our India region. In an environment where speed and precision are non-negotiable, your job is to ensure that leadership operates at its highest level — removing friction, anticipating complexity, and protecting the time of people who make high-stakes decisions every day.

You will build trusted relationships across IMC's global network — spanning Amsterdam, Singapore, Chicago, and beyond — coordinating seamlessly across time zones and teams. This is not a traditional scheduling role. You will act with initiative, exercise sound judgement, and represent the leaders you support with the same professionalism and discretion they would bring themselves.

 

Your Core Responsibilities:

  • Supporting correspondence for MD & Head of Options with broader business including global offices.
  • Meeting coordination, agenda creation, minute taking and any subsequent reporting
  • Collation and distribution of reports, presentations and meeting packs for Town Halls, Monthly Updates etc.
  • Assisting with travel arrangements 
  • Managing various support & administrative tasks 
  • Work with office management team where required 
  • Exercising discretion, initiative and confidentiality in the above 

 

Your Skills and Experience: 

  • 6-10 years of experience supporting C-suite or senior leadership, ideally in financial services, technology, or similarly fast-paced, high-stakes environments
  • Exceptional organisational skills with the ability to manage multiple competing priorities simultaneously — without losing accuracy or composure
  • Strong interpersonal skills: you build trust quickly, engage confidently with senior leaders globally, and know when to push back and when to absorb
  • A high degree of discretion and professional maturity when handling sensitive information
  • A bias for action and comfort with ambiguity: you figure things out and make sound judgement calls rather than waiting for perfect information
  • Clear, direct written and verbal communication in English; able to represent leadership credibly in any context
  • Proficiency with modern productivity tools (AI, Powerpoint, Excel); experience with global calendar platforms, travel booking systems, and expense management tools
