Role Overview

This is a Senior Executive Assistant position supporting a Portfolio Manager and their internationally based team. The EA will act as the glue that keeps the team operating efficiently in a high-velocity environment where priorities shift quickly, confidentiality is non-negotiable, and the standard of support expected is exceptionally high.

Responsibilities

Calendar and Scheduling

  • Manage diary scheduling for the PM and wider team
  • Coordinate meeting logistics end-to-end, including room bookings, VC set-up, and report preparation
  • Anticipate scheduling conflicts and resolve them proactively, without escalating every decision

Travel and Logistics

  • Arrange international travel, including flights, hotels, ground transport, visas, and detailed itineraries accounting for time zones and meeting requirements
  • Manage last-minute changes with efficiency and composure, ensuring the PM is always briefed and prepared

Stakeholder Relationships

  • Build and maintain strong working relationships with PMs, traders, analysts, and other senior stakeholders across the firm
  • Act as a reliable and professional point of contact on behalf of the PM, both internally and with external counterparties

Team Administration

  • Manage correspondence, coordinate team meetings and off-sites, track actions and follow-ups, and provide ad hoc support to the broader function
  • Handle expenses, invoices, and purchase orders accurately and on time
  • Maintain organised, reliable filing systems (digital and physical) that the team can depend on

Requirements

  • Experience as an Executive Assistant in financial services (investment management, hedge fund, private equity, etc.) or an equivalently demanding environment is preferred
  • A high sense of urgency and the ability to prioritise instinctively in a fast-paced environment where everything can feel equally important
  • Exceptional communication skills across all formats: in person, by telephone, and in written correspondence
  • Advanced working knowledge of Microsoft Outlook, Excel, Word, and PowerPoint, along with an interest in AI tools
  • A genuine self-starter mentality, with the ability to identify what needs doing without being asked and take full ownership of tasks from start to finish
  • Meticulous thoroughness and a demonstrable track record of accuracy
  • Strong, independent judgement and the resourcefulness to find solutions to problems
  • A collaborative team-player attitude, with a willingness to support colleagues and contribute to a well-functioning team
